What personal data does Overwater Marina Ltd (OWM) collect?
OWM collects customers names, addresses, telephone numbers, email addresses and car registration numbers, as well as the name and contact details of visitors and external contractors. We also collect extra information from our moorers such as boat registration number, boat safety certificate number and insurance policy number and expiry date. This information is given freely customers when complete a mooring booking form, caravan booking form or by booking online.

What is this personal data used for?
This data is used for the administration of the services we provide. This may include the use of your email and/or address to send you our monthly newsletter and/or emails and other important messages including invoices which relate to your mooring, workshop work or caravan pitch. OWM does not use any form of automated decision making or profiling of individual personal data.

Who is your data shared with?
Your data is only available to members of staff and in the case of email addresses to the company which creates and mails out our newsletter. This company is are not free to pass this information onto other organisations that are not connected with OWM. Your personal data is not passed on by OWM to any other third party individual or organisation without your explicit permission.

Where does this data come from?
This data is gathered directly from mooring booking forms, our computer based workshop & mooring booking system and online caravan booking system.

How is your data stored?
Data is stored on our office based EPOS marina management system, in paper files, in our visitor book and in our fuel records file. All electronic data storage is password protected and paper records are stored in a secure environment.

Who has access to your data?
OWM members of staff. Source Partnership (newsletter processor)

What is the legal basis for collecting and processing this data?
As a business OWM could not function in providing you with a service if unable to collect and use your personal data. The lawful basis for collecting and processing your data is that is it in your legitimate interest to do so.

How can you check what data about you is held by OWM?
The data held is only that provided by customers when accessing our services. If you would like to see the basic data held about you, you should contact the Data Controller.

Does OWM collect any 'special' data?
The GDPR refers to sensitive personal data as 'special categories of personal data'. OWM does not collect such data.

How can you ask for data to be removed, limited, amended, or corrected?
This can be implemented by contacting the Data Controller.

How long is your data kept for, and why?
Your details are normally kept for a period of 6 years. This allows us to provide information to HMRC if we are required to.

Who is responsible for ensuring compliance with the relevant laws and regulations?
Under the GDPR General Data Protection Regulation OWM does not have a statutory requirement to have a Data Protection Officer. The person who is responsible for ensuring that OWM discharges its obligations under the GDPR the Data Controller is Janet Maughan who can be contacted on 01270 812677.
